Job Description

PIC Operations comprises of c.300 staff across multiple business areas (including Technology, Customer Operations, Change, Business Services, Data, Investment Operations, Enterprise Architecture), reporting into the Chief Operating Officer (“COO”). The COO is supported by a Business & Strategy Management team and the Operations Business Manager role sits within this team to:

  • Own critical administrative, planning and communication aspects of managing PIC Operations
  • Assist PIC Operations in meeting business requirements by building and maintaining a network of internal stakeholders and co-ordinating deliverables for HR, Finance and other business areas as required
  • Support the COO and Head of Operations Business & Strategy Management in evolving, communicating and monitoring implementation of the Operations strategy

Specific accountabilities assigned to the role of Operations Business Manager:

  • Stakeholder engagement: Build and maintain relationships with internal stakeholders, work openly and collaboratively with them, and act as a point of contact into PIC Operations for other business areas including HR and Finance.
  • Operational efficiency: Facilitate effective communication across departments, co-ordinate monthly Operations Leadership meetings, co-ordinate cross-Operations deliverables for HR, Finance and other business areas as required (e.g. Strategic Workforce Planning and objective setting).
  • Communication: Support the COO and Operations Leadership Team with the communication of information within PIC Operations (e.g. by having responsibility for the timely creation and distribution of the monthly ‘COO Status Report’ and by co-ordinating quarterly Operations Townhall meetings), and with increasing the profile of the Operations departments across the wider business. Lead on the expansion of Operations communications to increase both frequency and channels.
  • Governance: Responsibility for the successful running of PIC’s monthly Operating Committee, maintain and socialise a schedule of wider Board and committee deliverables from PIC Operations and contribute towards the creation and review of materials when required (e.g. by drafting the COO report for Board).
  • Strategic planning: Support the COO and Head of Business & Strategy Management in evolving and communicating Operations strategy and in establishing and monitoring metrics relating to the implementation of the strategy.
  • Leadership support: Serve as a trusted advisor to the COO and Head of Business & Strategy Management.

Requirements

Knowledge

  • Good working knowledge of MS Word, PowerPoint and Excel

Skills

  • Excellent verbal and written communication skills

  • Ability to manage multiple stakeholders at all levels of the business

Experience

  • Experience of working in an Executive Office
  • Experience of working in an operations function, with an understanding of the components of the operating model (technology, data, processes)
