A hands-on role coordinating WIBF’s collaborative relationships and shared commitments

Works with: Head of Commercial Partnerships; Head of Marketing; Head of Communications; Corporate Partnerships team; Operations and delivery leads
Commitment: Approximately 4-6 hours per week, with flexibility around key partnership activity and deadlines
Location: Remote; occasional attendance at UK meetings or events may be helpful

Women in Banking & Finance (WIBF) is a membership network that has championed women in financial services for over 45 years. We support women across the UK through development programmes, leadership opportunities, industry insight, influential connections and cross-industry collaboration.

Role purpose
To provide reliable coordination and administration for WIBF's collaborative partnerships. The role will maintain a clear view of agreed commitments, actions, owners, deadlines and resource needs; support communication between partners and WIBF teams; and help ensure that collaborations are delivered professionally and as agreed.
Partnership coordination
· Act as the day-to-day coordination point for agreed collaborative relationships with external organisations.
· Track actions, deadlines, contacts and reciprocal commitments, following up with internal and external stakeholders as required.
· Maintain a clear partnership record covering purpose, mutual value, deliverables, internal owners, required resources and review dates.
Commitment and resource coordination
· Support the assessment of each proposed commitment by gathering information on the people, time, operational input, communications support, data and budget required.
· Confirm that actions have named internal owners and record agreement from the relevant functional or delivery leads.
· Support regular reviews of delivery progress and help coordinate recovery actions where commitments are at risk.
Cross-functional delivery
· Coordinate agreed activity with the Head of Commercial Partnerships, Head of Marketing, Head of Communications, Corporate Partnerships team, Operations and relevant WIBF delivery leads.
· Organise meetings, prepare agendas and notes, circulate actions and follow up on agreed next steps.
· Coordinate practical inputs such as partner information, copy, logos, speakers, attendee details, briefings or other materials required for delivery.
· Maintain an accurate central record of partners, contacts, opportunities, commitments, resources, activity and outcomes.
· Keep calendars, trackers, templates and shared documentation up to date and easy for colleagues to use.
· Collate agreed measures of mutual value, delivery, reach, engagement, in-kind contribution and impact.
· Produce concise regular updates and identify recurring issues or opportunities for improvement.
What success looks like
· Collaborative partnerships are organised, communicated and delivered on time.
· Partners, speakers, attendees and WIBF colleagues receive a responsive and professional experience.
· Records and calendars are accurate, current and usable, with clear visibility of commitments and deadlines.
· Every commitment has a clear owner and its resource requirements are visible before delivery begins.
· Reporting gives the senior role reliable evidence on capacity, activity, outcomes and lessons learned.
Essential
· Excellent organisational and administrative skills, with close attention to detail and reliable follow-through.
· Experience coordinating projects, partnerships, collaborative programmes or stakeholder activity.
· Clear and professional written and verbal communication.
· Confidence liaising with external contacts and senior professionals in a courteous and timely way.
· Ability to manage multiple deadlines, maintain accurate records and work independently within agreed priorities.
· Comfort using shared documents, spreadsheets, calendars and common collaboration tools.
· A proactive, practical and collaborative approach suited to a predominantly volunteer-led organisation.
Desirable
· Experience supporting partnerships involving multiple organisations or internal teams.
· Experience drafting short-form marketing or stakeholder communications.
· Familiarity with CRM systems, contact databases or campaign reporting.
· Interest in gender equity and women’s progression in financial services.
